(Don’t worry — that’s a joke. Vaccine side effects do not include becoming one of our biggest fans. That’s just a natural by-product of our ultra-efficient processes.)
It’s true that we’re regarded as one of the best vaccine clinic operations around. But don’t be fooled by our humble brag — our team got this way by executing hundreds of successful remote clinics and administering literally thousands of vaccines.

But what does the vaccine process at Village Apothecary entail? Is it really all it’s cracked up to be?
You’ll have to experience it firsthand to truly understand the hype, but in the meantime, let’s break it down. Here’s what to expect when you come to a Village Apothecary vaccine clinic (or an onsite vaccination event) — our simple, 4-step process, how you can prepare in advance, and more wait below. Step 1: Check-in at the Vaccine Clinic
When you first walk through the Village Apothecary door — or into a remote vaccine event or onsite workplace clinic — you’ll be greeted immediately by our staff.
From there, you’ll be directed to check-in.
Here’s what happens during the check-in process:
First, you’ll get in line.
Which seems pretty standard, but is actually quite important. We’re often working in tight spaces during vaccine clinics, so getting in line quickly is imperative for a smooth flow of traffic.

Next, you’ll complete your paperwork.
But don’t panic! This year, we’re allowing folks to download a copy of our Screening & Consent form before they come in. That way, if you hate filling out information on a clipboard, you can bring your already-completed form with you when you arrive.
And don’t worry if it’s not perfect or if you have questions about specific sections. One of our friendly staff members will be more than happy to help on the day of.
NOTE: If you do opt to complete your Screening & Consent form in advance, remember to NOT fill in the date. Your form must be dated for the day you receive your vaccination.
Then, you’ll wait your turn.
During this brief intermission, we recommend that you get your insurance card out and ready.
That way, when you’ve quickly reached the front of the line, you’ll be prepared to show it to our staff. Be sure to follow this advice if you’re new to us, or if you’ve recently changed providers.
NOTE: If it’s your first time getting vaccinated at Village Apothecary, a valid driver’s license is required.
Step 2: Data Entry — What Do You Need to Have Ready for the Vaccine Clinic?
Congrats! Now that you’re at the front of the line, the hardest part is over.
Step 2 of the vaccination process moves fast, but you’d be surprised at how much our staff is accomplishing. During data entry, we’ll be verifying your vaccine choices, entering an official order into our pharmacy system, billing insurance, checking for interactions and contraindications, and double-checking your paperwork for accuracy and completeness. Whew!
Thankfully, this part is much easier on your end. Here’s what you’ll be doing during Step 2:
- Sharing your valid driver’s license, if you’re new to us. You’ll also be providing copies of your insurance card in the unlikely event that our staff isn’t able to use our super computers to pull in your most up-to-date information from the national database.
- Asking and getting answers to any questions you may have about the vaccine.
- Waiting briefly, for up to 2 minutes, as the staff accurately enters and submits your records, then processes the claim.
- Receive your 2024-2025 Vaccine Card as proof of your vaccination!
NOTE: There may be a brief wait before vaccination. You’ll stay behind the line in the order you arrived in, by the sign for Step 3, until the nurse calls your name.

Step 3: The Actual Vaccination
This is the “gettin’ down to business” part of your vaccine journey.
Here’s what you’ll do at Step 3:
- Take a seat on the throne provided.
- Answer the verification questions our vaccinators will ask. Think: “What’s your date of birth?” Or, “You are receiving the __ vaccine, correct?”
- Roll up the sleeve of your t-shirt and hold that sleeve high so the nurse can immunize you quickly and safely.
- Keep holding that sleeve until the band-aid is applied and your vaccine provider says “You’re all set!”
- Get our awesome sticker for the 2024-2025 season that proudly proclaims to the world, “I LOVE SCIENCE AND VACCINES AND ALL OF THAT FUN STUFF!”

Step 4: Finally, Observation
Remember the 2020-2021 era of long waits in random parking lots after receiving the COVID-19 vaccine?
Not anymore! There is no longer a required observation period for any vaccines.
HOWEVER, it is strongly recommended that you remain in the vaccine clinic for up to 10 minutes after injection. Our clinical staff is willing to make a compromise at 4-5 minutes of observation, as most immediate reactions would happen well before that time.
Regardless of how long you choose to stay, please let us know if you do not feel like yourself immediately following the injection.

Step 5: CELEBRATE!
Okay, so there was a secret 5th step to our supposedly simple 4-step process. Forgive us!
We just think protecting the health of individuals and communities is something worth celebrating. So, during this part of the process, at least give yourself a pat on the back. You’ve gotten vaccinated by the most experienced, awarded, and sought-after vaccine provider in the region.
